Six things to consider when booking your year end holiday.

Ah! December, a time where most of us get to take our annual leave and escape our routines for some much needed rest and relaxation. Sadly in our current economic climate, unless you've saved all year for your next trip or booked well in advance, you may find some serious challenges ahead if you haven't planned properly.

Sadly, the misconception that December equals cheaper sets one up with false hope, generally speaking the earlier the booking the better the rates. But, if you're one of those who had to wait for an overdraft increase to be approved or perhaps got paid out by the tax man a little later than usual, here's some guidance when booking your/your client's year end holidays.

1. It's all about planning - Knowing the difference between peak, shoulder and high season rates could benefit both your pocket and your planning preparations. Remember that the whole world is travelling around about the same time, so don't be blown away with high pricing over Christmas and New Years because this is premium pricing season. In the same breath, getting in at your favourite hotel during this time, may also include some wonderful memories and value added bonuses such as special Christmas Day festivities or New Years eve parties.

2. Ask about early bird deals - Although there may not be much time before your departure, some hotels offer discounts of up to 50% off package rates in the form of early bird deals. Packages that fall within as little as 15 days prior to departure could make a big dent in the total cost of your holiday per person. 

3. Airline seating classes affect the price - Let's say you went into Travel Agent A and got a package price of R35 000 per person and Travel Agent B offered exactly the same hotel but the package came in at R38 500. You may be wondering how the exact same hotel, departure dates and meal basis could be that much more expensive. The key is to check out airline seating classes that you've been quoted on. An agent that has contact with a tour operator that offers allocation seats will be able to offer you the best pricing option on your trip because the airline fares are always changing but the margins may not be as wide. Why pay premium pricing for airfares when you can ask for a quote from The Holiday Factory and know you're getting the best possible rates.

4. Be realistic with your budget - At this time of the year your 3 star, typically budget hotels, are pretty full with limited to no availability. In this case, the early bird catches the worm, but there's no judgement here! By late October 4 star hotels are filling up quickly and 5 star/5 star deluxe hotels will be the only option available to you if you're lucky. The good news is that if you're dealing with an agent/are an agent dealing with a winner tour operator, then you'll be able to factor in points 2 and 3 above. One needs to be realistic about budgets at this time of the year and costs of packages for these higher end hotels. At this stage, you'll pay anything from R20 000 upwards per person on a half board basis (that's dinner, bed and breakfast only) so asking for R15 000 per person on all inclusive (dinner, bed, breakfast, lunch and unlimited drinks) over the festive season isn't likely to happen. 

5. Book and pay as soon as you can - It's no secret that people shop around, especially when it comes to holidays. There are many pro's about booking with your favourite travel agent, however, if you aren't securing your holiday within 2 days max, you may find yourself losing out on best airfares and a fluctuating rate of exchange - and there's nothing anyone can do about that! 6. Don't take shortcuts - A lot of people have cottoned on to the idea of booking directly with hotels or via direct booking platforms which advertise reduced rates. Be aware of the fine print, your exclusions such as taxes and the refund policy should you not be entirely happy with your room category. These types of booking platforms can be dangerous when it comes to recourse as there is no point of contact to assist you when you arrive and your experience isn't up to standard.  Make sure you have your travel insurance and passports up to date which can be arranged through your travel agent. During peak season it's best to book all inclusive to avoid any nasty food and/or beverage bills at the end of your stay. All inclusive doesn't necessarily mean you're a big drinker but when it comes to families and children, water and milkshakes can all add up as do daily lunches which typically aren't included on Half Board stays.
