Tough Interview Questions and Answers – Administration Officer / Receptionist

 

INTRODUCTION

The interview is not a cold bath that you need to get done with quickly, an interview is an opportunity for you to convince your potential employer that you are the best, so answer better than the rest, be extra unique and entertaining also. The employer already thinks you can do the job. it is just you to convince him otherwise.

 

1. TELL ME A LITTLE ABOUT YOURSELF.

My name is Clara Phiri, I am a 23 yr old Zambian, my mother and fathers names are Jones Phiri and …. I live in Makeni.. I like chess and swimming (This is super boring and irrelevant, you want to answer this question in less than 1 min, cover your education, work history and personal details . this question has the biggest chunk it is 5 marks! )

 

SUGGESTED ANSWER

I am a 23-year-old Zambian, I completed my high school education at Kabulonga Secondary School in 2009. I was then accepted at the University Of Zambia in 2010 and completed University with a Bachelor in Business Administration in 2015. (If you have a distinction mention it, if you don’t shut up about it)

 

I shortly joined Game Stores as an Administrative Intern for 5 months, this role exposed me to the operational aspects of Game Stores and that was issuing quotes to potential customers, invoicing and attending to customer’s queries or inquiries and stock management. I was then hired by Toyota Zambia as Administration Assistant. This job entailed running all admin related errands for the company seniors, coordination and planning of events , presentations for meetings and travel etc . I worked for Toyota Zambia until December 2018. (you want to touch a little on the job description advertised or on what you think the job is about, you want to kind of hint that you have done the job before BUT don’t say it directly, just hint) .

 

I am single, with no children (if you are you mention it, if you are getting divorced don’t mention it the is no need)

 

• This is the first question all the time so naturally, you will be super nervous and forget some stuff, the key to this question is to memorize the answer like a poem every day until they call you for the interview. after answering this, you will find that you are confident for the next questions

 

2. WHAT DO YOU KNOW ABOUT US?

 

COMMON ANSWER

You are a big organization, you are in long acres lusakas and you are in the engineering service business. (you have touched on them a little but this is not enough, remember you want to impress the interviewer not just answer questions )

 

I don’t know much about you, I just applied because am looking for a job. ( I guarantee you, you won’t be called back if you answer like this )

 

I tried researching you but you are not on google ( you won't be called back , don’t worry madam )

 

SUGGESTED ANSWER

(You want to show an interest in the company to the employer, to the employer interest equals passion, passion equals hard work and positive results. Just imagine the productivity of someone not interested in the company even before they get the job. show interest act like your granny left you $1m and you want to invest in the company, what would you look at as an investor then say that in the interview about the company. )

 

Ergon International Is a multinational company with its headquarters in New York (USA). Your line of business is providing engineering services such as scaffolding, electrical maintenance and construction. You established yourselves in Zambia in 2010 by buying out Chembe engineering as your subsidiary company in Lusaka. You have since expanded your services to northwestern and the copper belt provinces, having big mining corporations such as lubambe and KCM in your clientele. I had a quick look at your financial statements online and I have noticed a steady growth of about 10% per year in revenues for the 8 years you have been in Zambia. what interests me most is your core values, which are to conduct all business with integrity, of which is in line with my own as I am a devoted Christian and also being a responsible global citizen, which tells me that you are willing to give back to the community in which you operate.

 

( you see how you kill it here ?, you talk about the company’s establishment, current business operations, biggest customers and its core values. showing the employer that you have done your homework )

 

3. WHAT CAN YOU DO FOR US THAT SOMEONE ELSE CANT?

Remember, at dreamjob we are not here to just answer questions, we a trying to chaff the employer here, here to impress. Remember the employer wants to know why it should pay you say K8000 per month net with benefits, so your answer should tell it that you are worth more but you will accept the kama 8 pin for now.

Hint: do not use vague words like passion, experience, hardworking, fast learner .. Instead demonstrate through your answer that you are smart, passionate, experienced and valuable.

 

In this profession, I can get busy without a question, I offer 3 solid years of administrative support from multinational companies such as yours ( Game & Toyota ), this has exposed me to what management expectations are, in such a fast-paced environment. I have developed transferable skills on the best business operations and procedures that can either maintain or improve the current quality of ad-hoc support you have. I have strong business acumen and my skills extend to general bookkeeping as you can see from my interim at Game Stores. I have strong interpersonal skills that allow me to collect or share information on time from engineers to present to management in order to facilitate timely decision-making. In a nutshell, I will make your life easy! with little or no supervision.
