Time zones can be quite challenging. What works for my team is setting clear expectations for our response times. We also use shared calendars to easily see everyoneâs availability and plan ahead for deadlines. We use Zoho Cliq for communication and Google Docs and Trello to keep things moving even when we are not all available online.

I work on projects across three timezones / Hybrid working since pre-Covid. I've found having a simple 3 clock display (or how many different cities you're coordinating with)on your phone/PC, helps with scheduling meetings on the go. Communication via email and an official messaging app like Teams ensures there's optimal clarity on tasks at hand for the projects.

To ensure effective communication in a remote team, itâs essential to schedule meetings that accommodate all time zones, providing equal opportunities for everyone to participate. Tailoring communication methods to each team memberâs preferred platform can also help reduce misunderstandings. Always document meeting minutes and share them with the entire team for future reference. As a project coordinator, staying informed and maintaining clear communication ensures you have a pulse on everything happening within your project, fostering better collaboration and outcomes.

This will be an increasingly common scenario in a very connected world where teams are selected based on their skills and not their location. Digital platforms like Slack, Notion and others contribute nicely to remote working as well as shared documents where everything is trackable. WhatsApp is still one of my favorites and facilitates swift communication and tasks immensely. Having clear directives and guidelines makes things easier. Love the person feeling but itâs a fact that we need to accommodate to multi city teams and thereâs also a beauty in that.
