Delay is not always caused by the contractors, however assessment of of the root cause will sure allow you to ensure and discuss with the client and expectation may be revealed accordingly, the force major may cause significant delay, change in scope, change in specifications and many other factors that need to be examined throughly and communicated with the client along with solutions proposal. Such approach will positively make the client satisfied hence expectations will be positively at your side.

First, see the frustration through the stakeholders' perspective. This will inform and align your response. Second, speak clearly and honestly about your diagnosis, again, measured through the stakeholder's position. Lastly, and most importantly, have a detailed plan on how to remedy their frustration that includes measurable steps and due dates.

Managing project delays and keeping stakeholders' expectations in check can be challenging, but it's crucial for maintaining trust and keeping the project on track. Here’s how I handle it, along with a story from my experience as an engineering manager. Clear Communication : The first step is transparent communication. When delays occur, I immediately inform stakeholders with specific details about the issue. I explain the reasons behind the delay, what’s being done to address it, and how it impacts the overall timeline. This helps manage their expectations and shows that we're on top of the situation.

When adjusting timelines, there are two temptations to avoid. The first is creating an overly optimistic timeline, and the second is creating the worst-case scenario. Both of these approaches would damage the trust of the stakeholders. In my experience, it's important to create a balanced timeline that prioritizes accuracy. Our client is already frustrated, and we want to prevent that from happening again. They have already allocated resources such as time, money, and a project start-up team for the VSU, so the new timeline must be well-planned.

I believe in fostering collaboration during challenging times. I involve stakeholders in discussions about how we can move forward together, seeking their input on potential solutions and adjustments. By making them part of the process, I ensure that they feel heard and valued, which can help diffuse frustration. Collaborative problem-solving also often leads to creative solutions that might not have been considered otherwise.

Since their operations will be impacted by the project, it's important to listen to their input during the initial phase or at their earliest convenience. This helps them feel ownership of the project from the start. If they can't be directly involved, they should designate someone or a team to support the project team and prevent issues during development or after delivery. With this collaborative approach, we can prevent several delays, and if they occur, team members are encouraged to work together to find a solution that minimally impacts project delivery.

Throughout the process, I make sure to offer assurance to stakeholders that we are committed to delivering the project successfully, despite the setbacks. I emphasize the steps we’re taking to get back on track and reinforce our commitment to quality and meeting their needs. Providing this reassurance helps maintain their confidence in the project and in our ability to deliver, even if it takes longer than originally planned.

Honesty, transparency, diligence, and persistence are the keys. Don't easily give up a planned date. Only do so when there are truly no other options. Stakeholders will be on your side and understand the situation.
