This is where contracts help immensely. If possible, I recommend outlining in the contract how many days prior to the shoot the date is flexible without incurring extra fees. Then have different fees to change the date or cancel. This is much easier when you have already collected a portion of the session fee. Quick tip: some rental studio locations (or companies like liquidspace.com) allow you to cancel a reservation without a fee 48 hours before (or even less time than that). That can help to reduce costs and avoid negative feelings even if you are entitled to a 50 or 100% cancellation/change fee.

When a shoot needs rescheduling, I prioritize open and respectful communication to maintain harmony. I reach out immediately, explaining the reason for the change and offering new dates that work for both of us. To ease the situation, I may offer perks like additional shots or a minor discount as a goodwill gesture. I ensure flexibility, showing empathy for any inconvenience while keeping their vision in mind. By being transparent and offering solutions, I help turn the situation into a smooth experience, maintaining trust and delivering as promised once the shoot happens.

One thing I need to comment here is that, when there is a time of rescheduling a photoshoot, it's crucial to communicate promptly and transparently, explaining the reason and offering alternative dates and times. Acknowledge the client's disappointment and offer sincere apologies, demonstrating empathy and understanding. To compensate for the inconvenience, consider providing value-added services like extra photos or discounts. Maintain flexibility to accommodate the client's needs while ensuring high-quality work. Lastly, clearly communicate the new timeline and ensure the client understands the process and delivery dates to set realistic expectations. By doing so, we can trust build and show respect.

In the photography world, clear communication is key. Before any shoot, I always prioritize a conversation to align expectations and make sure both sides are on the same page. When it comes to post-production, I believe that the best editing is the kind that enhances the image without drawing attention to itself. If you donât notice the edits, even if they were significant, thatâs when the retouching truly succeeds. Sometimes clients request heavy editing, and while I aim for balance, there are times when itâs necessary to accommodate their preferences.
