"Don't promise what you can't deliver," said Warren Buffett. When a client requests extra services, evaluate the impact on scope, resources, and timelines before deciding. In my experience, start by assessing how the new request aligns with the project's original goals and whether you have the capacity to deliver without sacrificing quality. A common mistake is agreeing without considering the strain on your team or budget. Discuss the additional services with the client, outlining potential costs or time extensions. By weighing the demands against your team's capabilities, you ensure sustainable delivery while managing client expectations.

I evaluate their request based on our capacity, scope, and the potential value it could bring. Iâve handled this by first understanding the clientâs true needs, then assessing whether we have the resources to deliver without impacting current commitments. If it aligns with our long-term goals, I negotiate scope changes and timelines. Otherwise, I recommend alternatives within our service boundaries, ensuring the client feels supported without compromising the quality of our core services.

Wow... additional services? We are certainly on the right track and have really added value (so far) in deliveries.
But before âgoing out and doing itâ, it is important to take into account the balance between demands and limits.
- Assess the impact on the relationship: meeting demands can strengthen the relationship, but it is important to ensure that this does not compromise the quality of services or the sustainability of your operation.
- Always communicate: be transparent about your capabilities and limits. This helps to manage expectations and avoid (possible) misunderstandings.

First, assess the scope of their request and determine how it aligns with the current project plan. Are the resources, time, and budget available to accommodate this? If so, consider how the additional services could benefit both the client and the long term success of the partnership. Openly discuss potential impacts on timelines and costs, ensuring transparency. Ultimately, balancing client satisfaction with project feasibility is key to making the right decision.

To balance client demands with your service boundaries:
1. Set clear limits: Define the scope of services from the start.
2. Assess the request: Determine if you can handle the additional work without disrupting other projects.
3. Consider the impact: Evaluate how the request will affect your current workload and if it's worth the extra effort.
4. Negotiate terms: Adjust rates and timelines as needed.
5. Communicate clearly: Be open about what you can offer and suggest alternatives if necessary.
6. Evaluate long-term benefits: Consider the future relationship value against current adjustments.
These steps help manage additional requests while maintaining service quality.
