The first step would be to review the unforseen conditions with the client. An architect or engineer may need to be involved if either of their scopes have been affected. From there the contractor will be able to determine the impacts of the additional scope. Once the contractor has presented a change order proposal to the client, both will mutually agree on the next steps forward. Contracts may need to be modified if cost or time have been added to the original contract's terms.

After the change order proposal is accepted, the contractor will need to implement the changes to the subcontractors. Subcontracts will need to be modified and schedules amended. Materials lead time will need to be factored in and is figured after products have been purchased. The subcontractors will then add the new timeline into the existing schedule and the contractor will revise the master schedule of the client.

After the project or construction phase has been completed, the contractors project manager and superintendent should review the scope changes and reasons why they were incurred. Maybe something was missed by the contracting team, engineers, or designers. A change order may have been able to be avoided if certain checkpoints were in place. This would be a great way to review best practices and helps the efficiency of current and future projects.

Most importantly, it’s necessary that we be empathetic towards the person / client, responsible for raising this scope change, by accepting and being agile. Changes are not for fun, it’s inevitable in this fast changing VUCA world. While we assess the impact, it’s also important that we see possible opportunities to keep the progress on Non impacted scope going. Clarity in Communication and setting direction in this ‘change management’ phase is what I thrive for.
