One thing I’ve found helpful is firstly being calm. Analyze the issue by gathering the important details systematically. Simple details as estimated time of occurrence, operational status, actual pictures and recent PM’s records to identify the problem. If possible, guided minor troubleshooting would be the initial step but I would rather do personal inspection first before reaching out to vendors for repairs.

- Designate primary points of contact: For each maintenance team and department, designate a contact person or team responsible for receiving and addressing maintenance requests. -Use appropriate platforms: Ensure that your team utilizes dedicated platforms like maintenance management systems, email groups, or internal messaging apps for communication about maintenance tasks. -Standardized reporting.

Simple funda is, there should be a maintenance cycle after each cycle of machines hours worked mentioned in that particular machine manual book. And all communication must have been done before machines maintenance cycle period to avoid any unexpected circumstances.

If you're a maintenance supervisor gather as much information on the problem as possible. A picture is worth a thousand words. Figure out what will parts be needed inorder for your mechanics to solve the problem. Best time to communicate the issue is at the morning meeting. Enable your workers to succeed!!

A well-structured escalation process ensures that issues are addressed at the right level of expertise and urgency, minimizing downtime. The worst thing is not having people assigned as points of contact for maintenance issues. This will cause a lot of confusion and delay the maintenance process. to avoid confusion. So designating point of contacts for maintenance requests is truly vital.

Complying SOP standard operating procedure. Daily tool box talk with our team. Laising with the team is clearly understanding their daily assigned task. - Provide a positive working environment and comply with all safety measures. - Routine visual check of our sites recording operating parameters observed abnormalities. - Identifies near misses and reports immediately to our concerned authorities. - Carrying proactive preventive corrective actions. - Updating the daily activity report sheet, and Pm sheet as per schedule assets data. - Third party site operational inspection for quality standardization. - Arranging staffing competency assessment and training programs. - Promoting employees health care safety welfares programs.

Follow Up on Completed Tasks by: - Post-maintenance feedback: After work is completed, follow up to ensure the issue is fully resolved and there are no lingering problems. Solicit feedback from both the maintenance crew and those affected by the issue. - Recognition and review: Acknowledge successful maintenance work and periodically review performance to highlight best practices and improve future responses.

Focus on taking care of the people who are actually doing the work. A great idea is to have wiring diagrams and PIDs in the Field Junction cabinets or have them printed out ready to go. When technician has to stop a "placeholder" status is implimented. Thats the time to give info to the stakeholders. They don't need to know until things can't move forward.
