Dentro da suite Microsoft (Office 365) temos o power automate, que permite definir regras e gatilhos que podem gerar ações para aquela mensagem, como uma resposta automática, direcionar para um fluxo do planner, enviar mensagem via teams, etc.

I find batch processing of emails to be absolutely the most effective approach in my daily routine. I usually dedicate 2-3 time windows to respond to emails during each day. And I intentionally do not check my emails outside these dedicated windows. Works like magic! Try it out and adjust to your own habits.

I also find batch processing of emails most productive when you dedicate a few times to responding emails. This not only allow me to focus on the critical agenda that I set for the day, the outcome of those focus often lead to more clarity of the key priorities which then put me in a better position to respond effectively with more clarity that saves many follow up back-and-forth notes otherwise. Not rushing into responding also helps automatically prioritise communications, ones that are critical and urgent will surface up again to gain your attention, ones not meaningful will usually never show up again.

Don't reply. And: Stop sending Emails. The more you send, the more you receive. Foster a culture of passing by people's offices to clarify which had been brough up by email. If they are not in the same building, give them a call. The immediate gratification of synchronuous communication will crate a positive feedback loop that will help cleaning out your inbox.

Applying the 4Ds technique can help you manage your emails efficiently - do it immediately (if it takes less than 2 mins), delete (if not important), delegate (as much as is possible) or defer (park in a ‘to do later’ folder).

O e-mail é uma caixa de mensagens e não um backlog de atividades ou um ERP de chamados. Portanto, se necessário considere estruturar um fluxo com tempos de respostas (SLAs) bem definidos para cada tipo de solicitação, tratativas e encaminhamentos padrão, etc.

I prefer a quick in-person conversation whenever possible. I also like to initiate a 5-10min pantry-chat if I want to give a quick update or when a quick alignment is needed, works really efficient and usually helps move things forward much faster. I'd also suggest to reconsider the cc or bcc list and make sure these are really necessary and relevant.
